We are committed to protecting the privacy and personal information of all users—both event organisers and their guests—in compliance with the Nigeria Data Protection Regulation (NDPR) and other applicable laws.

2.1. Information Provided by Event Organisers
  • Account and Contact Information: Name, business name, email address, phone number, and billing details.
  • Guest Information: Names, email addresses, and phone numbers of event guests uploaded by the organiser.
  • Payment Information: Payment details processed securely through our payment partner, Paystack.
2.2. Information Automatically Collected
  • Analytics and Usage Data: We use Google Analytics to collect non-personal data such as IP addresses, browser types, pages visited, and time spent on the platform to improve performance and user experience.
  • Cookies: Our website may use cookies to enhance functionality and collect aggregate information about user interactions.
2.3. Information Collected for Communication
  • WhatsApp Delivery: Guest contact information (phone number) may be used to deliver QR access cards via WhatsApp.
  • Email Delivery: Guest email addresses are used to send QR access cards and event-related updates.

3. How We Use Your Information

  • Event Access Management – To generate and distribute QR access cards for event guests.
  • Payment Processing – To facilitate secure transactions through Paystack.

  • Service Improvement – To analyse traffic, enhance platform performance, and improve overall service delivery.

4. Managed Service Provision

In addition to our self-service system, Scan.ng offers a Managed Service option.

When organisers choose this service, they provide their guest list directly to our team. We then handle the creation and distribution of QR access cards on their behalf.

All guest information received under this service is treated with the same level of data protection and confidentiality as information collected through our platform.

5. Legal Basis for Processing

We process personal data based on the following lawful grounds:

  • Consent: When you voluntarily provide data to use our services.
  • Contractual Necessity: To perform our agreement with event organisers or deliver requested services.

Guest data is retained only for as long as necessary to fulfil the purpose for which it was collected (e.g., until the event concludes).

Organiser account and transaction data may be retained for audit, regulatory, and business continuity purposes as required by law.

When data is no longer needed, it is securely deleted or anonymised.
